Privacy is very important to New Optics. Through this policy, New Optics aims to provide you with more information about how your personal data is handled and the rights you have regarding this data.
New Optics NV (hereinafter: “New Optics”, “the optical store”, or “we”) is an optical store with its registered office at Haachtsebaan 26-28, 3140 Keerbergen. In this capacity, the optical store is responsible for processing the personal data of our customers and potential customers. Processing encompasses all possible operations involving this data, such as collecting, recording, using, or storing it. We always handle this personal data with care. It is important to note that we have never sold your data to third parties in the past, nor will we ever do so in the future.
If you are a customer of New Optics, the optical store processes certain data. This may include, among other things:
If you are not a customer of New Optics, the optical store processes—under certain conditions—specific data that you have personally provided to the store. This may occur, for example, in the context of networking events or a business relationship with the store as a product vendor or service provider. This may include, among other things:
The optician collects and processes your personal data to ensure adequate service provision. More specifically, the optician processes your data: to be able to contact you;
The length of time personal data is retained depends on the type of data. The optician uses data only when there is a clear purpose for doing so (for example, to perform a contract, to comply with legal obligations incumbent upon the optician, or to track the progression of eye conditions and their implications). For the purpose of exercising your rights or those of New Optics, the retention period may exceed statutory limits.
New Optics will not sell your data to third parties.
However, data may be passed on to suppliers in connection with an order. Only the data necessary for the order is transmitted, potentially including the first and last name of the person for whom the order is being placed. Data may also be shared with ophthalmologists or other physicians in consultation with the customer.
Furthermore, as part of the outsourcing of certain tasks, the optical store may transfer data to carefully selected third parties that process specific data on the store’s behalf. For this purpose, the optical store engages only third-party processors that, in its view, offer adequate guarantees regarding the protection of such data. These third parties undertake to safeguard the confidentiality of the data.
You have a number of rights regarding the personal data processed by the optician’s practice. You will find an overview below.
You may view the personal data that New Optics processes about you at any time. If you wish, you can obtain a copy of the data held by New Optics.
To the extent that the personal data maintained by New Optics is incorrect or incomplete, you have the right to request that this data be amended.
If you suspect that the optician is processing certain data unlawfully, you may request its deletion. New Optics will grant this request unless the processing is necessary for legal purposes or to fulfill our contractual obligations.
You also have the right to request from the optician the personal data you provided to them, or to ask the optician to transfer that data to a third party.
You have the right at any time to object to a specific use of your personal data. New Optics will honor this request unless the processing is necessary for legal purposes or to fulfill contractual obligations.
You may exercise your rights by sending a written request to New Optics, Haachtsebaan 26-28, 3140 Keerbergen, for the attention of the ‘GDPR Officer’, or by sending an email to admin@newoptics.be. The optician reserves the right to charge a fee to parties who exercise their rights excessively. To verify your identity, the optician may, among other things, ask you to provide a copy of your identity card. This allows the optician to ensure that no one else is exercising your rights. Any request to exercise a right that you submit to the optician will be processed and answered as soon as possible—and no later than one month after receipt of the request. Depending on the complexity or number of requests, this period may be extended by two months if necessary. The optician will always notify you of such an extension within one month of receiving your request. Should the GDPR Officer decide that a request cannot be granted, he or she will inform you of this no later than one month after receipt of the request. You will be informed of the reasons for such a decision. If you do not agree with the optician’s position, you may always file a complaint with the Belgian Data Protection Authority or lodge an appeal with the competent courts.
New Optics may amend this policy. You can always find the most recent version at www.newoptics.be. You will be informed of significant substantive changes via the usual channels. You can also find more information about privacy legislation in general on the website of the Belgian Data Protection Authority (www.privacycommission.be). Naturally, you are also welcome to contact the optical store if you have any further questions.
